Performing bulk actions help users speed up manual tasks, organize the candidate database and enables faster recruiting.


Bulk actions can be performed on candidates from 2 pages.


From Candidate Listing Under a Given Job:  


Users can perform the below bulk actions on candidates associated with a job.  After selecting the candidates, a series of options for taking bulk actions appear, at the bottom of the screen. They're as below:


Message:  


The selected candidates can be messaged in bulk using this feature. After selecting the candidates to be messaged, clicking on the Message button opens up a dialogue box with the email addresses pre-populated in the To field.  The user can either compose their own message or select a pre-loaded template using the Use a Template option.  The user can also add attachments or forms to the email using the Add Attachments and Add Forms options respectively.


Using this feature, application forms can be requested from candidates in bulk by using Add Forms to add application forms to emails sent to the candidates.



Schedule Interview:  


The selected candidates can be scheduled for an interview in bulk using this feature.  This is especially useful for scheduling candidates for interview events where a lot of interviews are conducted on the same day.  After selecting the candidates to be scheduled, clicking on the Schedule Interview button opens up a small dialogue box giving the user the option to choose between the different type of interviews mapped to that job (such as Telephonic interview, Face to face interview etc). Once the user selects the interview type, the schedule interview form opens up, allowing the user to schedule the interview by entering all pertinent details. NOTE: All the selected candidates will be scheduled for the interview at the same time (like in a group interview).



Prescreen:  


The selected candidates can be initiated for pre-screening in bulk using this feature.  After selecting the candidates to be pre-screened, clicking on the Prescreen button at the bottom of the screen initiates the Pre-screening communication with the selected candidates via email and SMS.  Additionally, it also changes the candidates' status to Automated Prescreening.  The Prescreening tab on the Candidate Profile page shows the status as Candidate has been notified.  It also shows how long ago the pre-screening was initiated.



Offer:  


The selected candidates can be sent offer documents in bulk using this feature.  This is especially useful in volume hiring. After selecting the candidates to be sent offer documents to, clicking on the Offer button opens up a small dialogue box giving the user the option to Create Offer Document or Send Latest Offer Document.  


Create Offer Document allows the user to create the offer document using the templates and associated placeholders. 


Send Latest Offer Document: This allows the user to send out the last generated offer documents for the candidates.  This is especially useful for sending out offer documents in bulk for those candidates whose offers have been approved.  Instead of checking offer approval from the candidate profile and sending each offering document manually, the bulk option allows the users to send out all approved offer documents to candidates at one go.


NOTE:  In case no offer document has been generated for a candidate, or the latest offer document approval status is pending or rejected, no message with the offer document will be sent to the candidate. 



Change Status:


The status of selected candidates can be changed in bulk using this feature. After selecting the candidates to be sent offer documents to, clicking on the Offer button opens up a small dialogue box giving the user the option to choose the status they want to set for all the selected candidates.  Once the status is chosen from the list, the status of all the selected candidates is changed to the chosen status at once.



Reject:


The status of the selected candidates can be changed to Rejected in bulk using this feature.  After selecting the candidates that are to be marked rejected for the job, clicking on the Reject button opens up a new window where the user can update the Reason for Rejection by selecting the appropriate reason. The user can choose to send an email notification to the candidates informing them that the company will not be moving forward with their candidacy.  This can be done by checking the Notify the candidate checkbox in this window.  If this box is unchecked, no notification email goes to the candidate.  On updating the status, the candidates' status changes to Rejected.



More:


a) Share with External: Basic details of selected candidates can be shared in bulk with external contacts, using this feature. Users can share selected applicants’ basic details such as candidate name, phone number and email address with external contacts such as 3rd party vendors for hotel bookings, cab arrangements etc. On selecting the applicants who details are to be shared with the external contacts, the More button at the bottom of the screen lists Share with External as one of the options under it. On selecting this option, a new email window opens up. This email has an attachment named Candidate CSV which has the name, phone number and email address of all the selected applicants.


NOTE: The user can share the candidate details with external contacts who have already been added to the platform (these contacts will appear in the drop-down) or by manually adding the email address of the contacts who haven’t been added to the platform as yet.


Bookmark: Can bookmark candidates.


Blacklist: Clicking this option will blacklist the candidates and removed from candidate listing page and pool as well. This candidate will not be able to apply for any jobs in the organization using the same email id.


Ask feedback for the last interview: Clicking this option will send a survey form to the candidate to give interview feedback. 


Send Application form: When a candidate is sourced the application form is yet to be sent to the candidate for them to fill the application form. Clicking here you can send the application form to the candidates in bulk rather than going to each and every candidate's profile and sending it one by one.







From the Candidates Page (overall talent pool):


Users can perform bulk actions on candidates in the common candidate pool (across all jobs). This gives users more control over candidate data and can help them take action on candidates across different jobs.


The user can perform the Add to Job and Message actions on candidates in bulk. Once the candidates are selected using the checkboxes against their names, the above options appear at the bottom right corner of the page, to update candidates in one go. 


Add to Job: 


Clicking on Add to Job opens up a form which allows the user to search the job to which the candidates are to be added.  The user can search for the job by entering the first few letters of the job name, or the job id.  On selecting the job and clicking on Add, the candidates get added to the job.





Message


Clicking on Message opens up a messaging form.  The To field lists the emails of the selected candidates.  The Add Cc button allows the user to add email ids of contacts who should be receiving a copy of the email.  The Use a template button allows the user to use an existing email template instead of drafting the entire email.  The Add Attachments button allows the user to browse and add attachments from their drive to the email.
